Here's a quick meeting recap from last time.

Date:
Everyone thought that the proposed date, was good. Due to flights being more expensive on fridays and sundays, we decided to put the setup 25th-26th of July and start the marathon on Sunday the 27th, but earlier than last year. The marathon will run until sometime the next weekend, either the 2nd or the 3rd. Bonus will run for about 2 days.

Location
We're sticking to Nyeport. But we might change up the House of Culture for the nearby Volvo building. It's too early to say anything else but that's at least the plan.
I'm going to contact the hotel from across the street and ask around if we can get any kind of group discount.
There is an issue with having the group split up, we are in a much better position to bargain for a better group rate if a majority will be staying at the hotel, but I can also see that a good portion of attendees would prefer the much cheaper alternative.

At the moment this are just a ballpark for what prices might be for staying a week at the hotel.
1 room, 4 persons. 8250 SEK for 7 days. (That's about 300 SEK / night without any type of discount)

SDA marathon?
Yes, you read it right. I've spoken to Mike Uyama regarding ESA being an official SDA-marathon.
However, we are still doing the marathon our way, without giving up any creative control. Most of the things we need to change or improve are stuff we would have anyway.

- Better presence from administrators in chat. Less trolling and FrankerZ.
There are definitely times when FrankerZ / emote spam is appropriate, we just have to limit them slightly. With the increased crew, better chat moderation location (dedicated table in the back of the stream room) and scheduled mods we can handle that.

- Better donation handling
The donation tracker had never been used before, so we will get a better version this time around. We will restrict and not read donation less than 2€, we will not read FrankerZ donations even those are the only once we get (unless there's a good reason like a long message ending with #BestFinalFantasy).
An idea is that the donation tracker will be working in teams of 2. One person will handle the admin interface and marking stuff for reading and tagging challenges and incentives. The second one will only read donations. And swap places after a while.

- Less politics
We want the marathon/event to be 100% free from SDA/SRL/Leaderboards/Personal grudges. So we will be moving ESA to a new standalone platform. (At least as far as the public is concerned). This means, instead of working with the Ludendi Twitter, we will make a new ESA Twitter and work with retweets.
This is a way to distance the event from any personal opinions.

- Games list
Uyama was concerned about our philosophy to let everyone have a game at ESA. I thought our games list last year was very solid, actually better than SGDQ. What I think Uyama ment was that if SDA is going to support ESA in that way, we cannot totally compromise entertainment values to give anyone a game on stream.
Last year we had the limitation that games longer than 1 hour were not guaranteed a time slot on stream, I think that's a good place to start this year again. And we do have 2 stream if we need to!

Buying equipment for ESA
I've slowly been buying stream equipment to Ludendi in the case that I would not be able to make it. I believe it should be our goal to not be depending on a few key persons for the survival of the event.

We were discussing buying audio equipment. USB mixers, wireless mics, compressor for room audio.
But audio equipment are expensive stuff, real expensive stuff. We are talking 1000€ to fit one stream with decent equipment. The good thing is that this is a one time expense. And could even be used for other marathons and events. Renting equipment is also an option, but that too is expensive, and would probably cost about 75% of the price of actually buying it ourselves.

I would suggest that if the primary purpose of ESA is not to raise money but to be a get together, then compromising on game choice to get SDA promotion is probably a bad idea.  It sounds like you're looking for a way to split the difference, but I wanted to get that out there.

And this is not at all a knock on SDA.  I like SDA.  I'm a constant defender of SDA.  But I think the goals and purposes of ESA have to be defended on their own.

Also I like to hear talk of a hotel deal. Since, if I get this one job I'm in for, my chances of going to ESA go way, way up, and I'll want a hotel to stay in there. :D

Re donation handling: Yes, I was trying to do that this year round, only a lo~t less stricter than it sounds from this post of yours. Basically, I didn't read 'What the FrankerZed have you done to my FrankerZed, you FrankerZed? #bonemom', while I did read 'FrankerZed!' The one thing to know here is where the line is, and then let me enforce it e.e

Re better chat admin presence: If I remember the room we had, and imagine we want two streams to come out of that one single room, which also means twice the tech, I can imagine us having a hard time finding space for the chat mods. How about setting up a large table somewhere outside of the stream room proper? Chat mods will probably have the stream open anyway (or not care to do so at all) and need as little concentration as possible on what's going on in the room imho.

@Alko - We've had requests for having tables for people to mod inside the stream room as they feel like it would make it easier for them. I feel like it would be the exact opposite for me personally but we have demands and we should try to meet them if we reasonably can do so. There are ideas of how to make the most use out of the stream room in place already but we'll get more into that at another time.

@PresJPolk - It's not like we won't have to evaluate the quality of a run or won't have the power to deny people who doesn't seem legit a spot on the schedule. We won't force ourself to add games that we think have no entertainment value to anyone just to follow our general policy for the creation of the game list.

Tables definitely, but what is the reasoning for chat mods to necessarily be in the stream room? ;) Only question I have on that topic.

The reasoning was that if a person is scheduled to moderate chat. If would be less of a chore if they could sit in the stream room and maybe even relay questions to the runners.
Simply make it more enjoyable.

Hi, I'm late.

1) To not allow anybody associated even the slightest with ESA to question anything SDA/SRL/LDS/Etc is a really fucking stupid demand from him, to put it in clear language. Of course it's not going to be brought up on ESA streaming, but if we cannot point a single finger at Cosmo and the other hyped up runners he loves so much to say "that's really stupid" when they're doing something really stupid, then I object hard.

2) He has to keep his fingers out of our game list forever. I'd rather have craploads of games and runners some of them not so good over something like SGDQs. The more the merrier. The more runners who get their live marathon cherry popped the better. We'd score the big bucks if we only let in big hyped up games and big hyped up runners, but where's the fun in that? Most of the fun at SGDQ was off-stream. 99% of the fun at ESA was on-stream.



e: Disclaimer, if Edenal was about to commit himself into something poorly thought out and stupid, I would tell him. If ozzy was, if Alko was, if presjolk was, if even freaking Hitler was, no matter who you are I would tell you before you were about to embark on a boat of buffoonery. Even deaf people can listen to this sort of stuff. That's what the SRL/SDA/Leaderbutt stuff is about. And american attitudes.

I think the point is that ESA as a group won't stand up and point a finger, saying that's stupid of that person.

As individuals, we are free to do whatever we want!

Amen to that brother. We should, and won't give up any creative control.

I think what Mike was scared of is that we would allow ANYTHING, just because we can. If it's not a good, entertaining or have some other gimmicky hook, I don't think it would make the cut anyway. :)

Easy solution re the Twitter thing: Make an ESA Twitter but put the same people in charge of it too, with a directive only to cover ESA-specific things.  Then no feelings are hurt, and everyone gets what they have a right to ask for.

It's probably not a bad idea anyway.  *GDQ have really under-used Twitter up to now and they're going to fix that starting with AGDQ.

ESA as already discussed had significant problems with the people on-site not communicating with the world, and having an ESA-dedicated Twitter account separated from the Ludendi account might be a great idea to really hammer home the idea that we need to promote.
