Here's a quick meeting recap from last time.
Date:
Everyone thought that the proposed date, was good. Due to flights being more expensive on fridays and sundays, we decided to put the setup 25th-26th of July and start the marathon on Sunday the 27th, but earlier than last year. The marathon will run until sometime the next weekend, either the 2nd or the 3rd. Bonus will run for about 2 days.
Location
We're sticking to Nyeport. But we might change up the House of Culture for the nearby Volvo building. It's too early to say anything else but that's at least the plan.
I'm going to contact the hotel from across the street and ask around if we can get any kind of group discount.
There is an issue with having the group split up, we are in a much better position to bargain for a better group rate if a majority will be staying at the hotel, but I can also see that a good portion of attendees would prefer the much cheaper alternative.
At the moment this are just a ballpark for what prices might be for staying a week at the hotel.
1 room, 4 persons. 8250 SEK for 7 days. (That's about 300 SEK / night without any type of discount)

SDA marathon?
Yes, you read it right. I've spoken to Mike Uyama regarding ESA being an official SDA-marathon.
However, we are still doing the marathon our way, without giving up any creative control. Most of the things we need to change or improve are stuff we would have anyway.
- Better presence from administrators in chat. Less trolling and FrankerZ.
There are definitely times when FrankerZ / emote spam is appropriate, we just have to limit them slightly. With the increased crew, better chat moderation location (dedicated table in the back of the stream room) and scheduled mods we can handle that.
- Better donation handling
The donation tracker had never been used before, so we will get a better version this time around. We will restrict and not read donation less than 2€, we will not read FrankerZ donations even those are the only once we get (unless there's a good reason like a long message ending with #BestFinalFantasy).
An idea is that the donation tracker will be working in teams of 2. One person will handle the admin interface and marking stuff for reading and tagging challenges and incentives. The second one will only read donations. And swap places after a while.
- Less politics
We want the marathon/event to be 100% free from SDA/SRL/Leaderboards/Personal grudges. So we will be moving ESA to a new standalone platform. (At least as far as the public is concerned). This means, instead of working with the Ludendi Twitter, we will make a new ESA Twitter and work with retweets.
This is a way to distance the event from any personal opinions.
- Games list
Uyama was concerned about our philosophy to let everyone have a game at ESA. I thought our games list last year was very solid, actually better than SGDQ. What I think Uyama ment was that if SDA is going to support ESA in that way, we cannot totally compromise entertainment values to give anyone a game on stream.
Last year we had the limitation that games longer than 1 hour were not guaranteed a time slot on stream, I think that's a good place to start this year again. And we do have 2 stream if we need to!
Buying equipment for ESA
I've slowly been buying stream equipment to Ludendi in the case that I would not be able to make it. I believe it should be our goal to not be depending on a few key persons for the survival of the event.
We were discussing buying audio equipment. USB mixers, wireless mics, compressor for room audio.
But audio equipment are expensive stuff, real expensive stuff. We are talking 1000€ to fit one stream with decent equipment. The good thing is that this is a one time expense. And could even be used for other marathons and events. Renting equipment is also an option, but that too is expensive, and would probably cost about 75% of the price of actually buying it ourselves.
